Instead of forcing a complex connection, the team built a seamless, low-code automation flow using Microsoft Power Automate, SharePoint, and Power BI—a solution that bypassed the limitations entirely. Designing the Low-Code Automation Flow

The architecture revolved around one clever idea—using email as the bridge. Every time MasterControl generated a new report, it was automatically sent via email. Power Automate would then catch it, process it, and set the data in motion.

The Power Automate flow monitored a designated inbox for incoming MasterControl reports. As soon as a new email arrived, it extracted the Excel attachment and saved it to SharePoint, organizing the files in timestamped folders for version control and traceability. Each report was stored in a clear, consistent structure (for example, /MasterControlReports/YYYY/Qtr), making it easy to locate any version at any time.

Next, Power BI stepped in. Using the Excel Online (Business) connector, it dynamically pulled the latest files directly from SharePoint. Within Power Query, the data was cleaned, merged, and shaped into meaningful insights that fed into the MasterControl Product Lifecycle Tracker Dashboard. The Power BI service refreshed the data automatically on a schedule—no manual uploads, no delays.

This created a low-code automation pipeline that seamlessly integrated key performance indicators for training compliance, document status, and lifecycle metrics—without any custom coding or expensive add-ons.

How it Unfolded

The implementation came together through a series of simple, elegant steps powered by low-code automation. First, Power Automate detected incoming emails from MasterControl. It then extracted and saved the attached Excel reports into SharePoint. SharePoint’s folder structure maintained a logical and auditable record of every report version.
